Introduction
These Terms & Conditions apply to all photography services provided by Cam Harle Photo ("the Photographer", "we", "us", "our").
By booking a session or using our services, you agree to these Terms & Conditions. Please take a moment to read them — they're written to be fair, clear and straightforward.

Bookings
1.1 — Booking Confirmation
A booking is considered confirmed once:
- A deposit has been paid, or
- Written confirmation has been received via email or agreed booking platform
The Photographer reserves the right to decline bookings at their discretion.
1.2 — Deposits
A non-refundable booking deposit may be required to secure your session date and time. Once received, that slot is held exclusively for you.
Payments
2.1 — Session Fees
Remaining balances must be paid before or on the day of the session unless otherwise agreed in writing.
2.2 — Additional Purchases
Additional edits, retouching, prints, licensing or image purchases may incur additional charges, which will be agreed prior to the work being undertaken.
2.3 — Late Payments
Commercial invoices not settled within agreed terms may incur statutory interest and recovery costs in accordance with UK law (Late Payment of Commercial Debts (Interest) Act 1998).
Cancellations & Rescheduling
3.1 — Client Cancellation
Deposits are non-refundable. If cancellation occurs within 48 hours of the session start time, any session fees already paid may also be non-refundable.
3.2 — Rescheduling
Where possible, we will make every effort to accommodate reasonable rescheduling requests. Rescheduling is subject to availability and cannot always be guaranteed.
3.3 — Photographer Cancellation
In the unlikely event that the Photographer is unable to attend due to illness, emergency, equipment failure or circumstances beyond reasonable control, liability shall be limited to either rescheduling the session or refunding any monies paid.
Photography Style & Creative Control
By booking a session, clients acknowledge they are familiar with the Photographer's portfolio, style and editing approach.
Artistic judgment, lighting decisions, composition, posing direction, editing approach and final image selection remain at the Photographer's professional discretion.
RAW or unedited files are not supplied unless agreed separately in writing before the session.
Image Delivery
5.1 — Delivery Timeframes
Final images are typically delivered via online gallery within the estimated timeframe discussed at the point of booking. Delivery times may vary depending on workload, retouching requirements or project complexity.
5.2 — Online Galleries
Images are delivered through professional gallery platforms including Photo Workflow, Pic-Time or similar services. Clients are responsible for downloading and securely backing up their final delivered files.
5.3 — Storage & Archive
Client galleries and delivered images are typically retained for at least 12 months from the date of delivery. After this period, archives may be removed without prior notice. We strongly encourage all clients to download and back up their images promptly.
Copyright & Licensing
6.1 — Copyright Ownership
The Photographer retains full copyright ownership of all photographs and image files at all times, in accordance with the Copyright, Designs and Patents Act 1988.
6.2 — Personal Usage Licence
Unless otherwise agreed, personal clients are granted a non-exclusive licence to use final delivered images for:
- Personal websites and online profiles
- Spotlight, Mandy, Casting and similar industry platforms
- Personal portfolios and showreels
- Social media and self-promotion
Images may not be sold, sublicensed or used commercially without prior written permission from the Photographer.
6.3 — Commercial Usage
Commercial, editorial, theatre or corporate usage may require separate licensing agreements depending on scope and intended use. Please discuss your requirements at the point of booking.
6.4 — Image Alteration
Images must not be heavily altered, filtered, AI-modified or edited in a way that misrepresents the Photographer's work, without prior written consent. Reasonable cropping for standard platform formatting is permitted.
Portfolio & Promotional Use
Unless agreed otherwise in writing before the session, the Photographer may use selected images for portfolio display, website content, social media, exhibitions, competitions, studio samples, and marketing or promotional purposes.
Clients may request confidentiality or image non-use before the session takes place. Certain commercial or private project commissions may automatically exclude promotional usage.
Client Responsibilities
Clients are responsible for:
- Arriving on time for their session
- Ensuring any relevant permissions for locations are in place
- Providing accurate booking and contact information
- Securing appropriate consent from all session participants
For sessions involving individuals under 18 years of age, a parent or legal guardian must be present throughout, or provide written consent in advance.
Liability
While every reasonable care is taken, the Photographer shall not be liable for:
- Circumstances beyond reasonable control
- Technical or equipment failure
- Loss caused by third-party platform failures or outages
- Delays caused by external services
- Indirect or consequential losses of any kind
In all circumstances, total liability shall be limited to the amount paid by the Client for the relevant services.
Website Use
All website content, photographs and branding remain the intellectual property of Cam Harle Photo unless otherwise stated.
Unauthorised copying, downloading, reproduction or commercial use of any website content is strictly prohibited.
Data Protection
Personal information is collected and processed in accordance with our Privacy Policy. Please review it for full details on how your data is handled, stored and protected.
Force Majeure
Neither party shall be liable for delays or failure to perform their obligations caused by events beyond reasonable control, including but not limited to:
- Illness or medical emergency
- Extreme weather or natural events
- Transport disruption
- Government restrictions or regulations
- Equipment failure beyond reasonable prevention
Applicable Law
These Terms & Conditions are governed by and interpreted in accordance with the laws of England and Wales.
Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Changes to These Terms
We reserve the right to update these Terms & Conditions at any time. Updated versions will be published on this page with a revised effective date.
Continued use of our services following any update constitutes acceptance of the revised terms.
